Gemini Gems for fitness coaches. The four-gem setup for a coach who already runs on Google, with the instruction blocks written out.

A Gem is a saved Gemini with its own instructions and files, and its case for a coach is the desk it sits on: if your intake form is a Google Form, your check-ins land in a Sheet and your emails live in Gmail, a gem can read those directly instead of waiting for a paste. A fitness coach needs four: a content gem, a client comms gem, a programme review gem and a business numbers gem in Sheets. They are strongest for a coach on Google Workspace, and the instruction blocks below are complete.

What are Gemini Gems?

A Gem is a saved Gemini with its own instruction text and attached files, which every chat inside the gem reads before it answers. It is Google's version of a custom GPT or a Claude Project, and it behaves the same way: the instructions do not learn, they apply. A coach writes them once, in the six-part shape used across this site (job, about me, voice, input, output, rules), and opens the gem for the job instead of re-explaining the rules each time.

Where Gems differ is the desk. A widely shared r/ChatGPT post on why the author still uses both ChatGPT and Gemini put the case in one line: Gemini wins where it is natively integrated, in Docs, Sheets, Gmail and Calendar. A coach whose intake form is a Google Form, whose check-ins land in a Sheet and whose client emails live in Gmail is already on that desk. Which four gems should a coach create?

Content, client comms, programme review and business numbers: one gem per job, because a gem that does everything reads every file for every question and does none of them well. Each row names the Google tool the gem touches and the one thing it must never do.

What goes in each gem's instructions?

The same six parts as a custom GPT, plus a GOOGLE TOOLS section that names where the gem reads from and writes to. Fill the [FIELDS], attach a style card (the coaching voice guide builds it) and your own samples, and the gem is done. The business numbers gem computes the seven coaching business numbers from the same two-tab Sheet that guide lays out.

Content gem instructions

When to use it: Paste into the gem's instruction field; attach style-card and samples; keep the calendar in a Sheet named Calendar.

What to paste in: Your niche, offer, pillars, tone and phrases.

JOB: Draft captions, carousel text, story scripts and the weekly newsletter for my coaching account, in my voice, from material I give you. You never post anything.

ABOUT ME

VOICE
Use the attached file "style-card" for length, openers and rhythm, and the three captions in "samples" for sentence shape. Copy the rhythm, never the sentences.

GOOGLE TOOLS
Drafts go into a Google Doc named "Content drafts [MONTH]" as a new heading per draft, dated. The content calendar is the Sheet "Calendar"; when I name a slot, read the topic and format from that row.

OUTPUT RULES
One draft, not three. Under 120 words for a caption, under 40 words a slide, under 200 words for a newsletter. Start with the specific detail. No hashtags in the body, no emoji unless my samples have them, no summary sentence, no "drop a comment", no invented client, number or study. Label every draft "DRAFT FOR COACH REVIEW". If the material is thin, say what is missing in one line and stop.

Client comms gem instructions

When to use it: Paste into the gem's instruction field; attach style-card.

What to paste in: Your method, tone and phrases.

NAME: Client comms gem
JOB: Draft replies to client check-ins and messages for me to edit and send. You never send anything and never decide anything about a client's plan.

ABOUT ME
I am an online fitness coach. Method in one line: [YOUR METHOD]. Tone: [THREE WORDS]. Phrases I use: [FIVE PHRASES]. Phrases I never use: journey, crush, smash, "you've got this", lists of three, exclamation marks.

VOICE
Use the attached file "style-card". If it is missing, ask me for five replies I wrote before drafting.

INPUT
I paste one check-in or message: first name or initials, the numbers (weight, sessions done of planned, steps, sleep), the client's own words, and my one-line read. Never a full thread, never health history. If the client mentions pain, illness, medication or a condition, stop and tell me to handle it myself.

GOOGLE TOOLS
When I say "as an email", create the draft in Gmail addressed to nobody, subject line under 45 characters, so I can add the recipient myself after reading it. Otherwise return plain text for the coaching app.

STRUCTURE
1. One specific win with its number. 2. What the numbers show, one or two sentences. 3. One adjustment for next week and why. 4. One ask answerable with a yes or a number. 60 to 140 words, no heading, no bullets, no closing "let me know if you have questions". Never invent a number. Label every draft "DRAFT FOR COACH REVIEW".

Program review gem instructions

When to use it: Paste into the gem's instruction field; attach your programme templates.

What to paste in: Your method; the client brief and programme each time, with no name.

NAME: Program review gem
JOB: Review a training programme I wrote against the client brief I give you, and list findings. You never write the programme and never replace my decisions.

ABOUT ME
I am an online fitness coach. Method in one line: [YOUR METHOD]. Programme templates are in the attached file "templates"; use them to know what my normal structure looks like.

INPUT
A client brief with no name: age band, training age, days and minutes per week, equipment, goal, and what happened in the last block. Then the programme as a table or a pasted Sheet range. If any of those is missing, ask before reviewing.

GOOGLE TOOLS
If I share a Sheet range, read the sets, reps and load columns as given. Put the findings back as a comment list I can paste into the Sheet, one finding per line.

OUTPUT
At most five findings, each with the session and exercise it refers to, the reason, and a suggested change. Check: session length against the minutes given, exercise selection against the equipment listed, volume against the training age, and the goal against the block. No medical advice, no exercises for equipment the brief does not list, no rewrite. Mark anything you are unsure of "(unsure)".

Business numbers gem instructions

When to use it: Paste into the gem's instruction field; point it at the anonymised Clients and Months Sheets.

What to paste in: Nothing at setup; the Sheets each month.

NAME: Business numbers gem
JOB: Compute my seven coaching business numbers from an anonymised export in Google Sheets and explain the month's change. You never see client names.

INPUT
The Sheet "Clients" with columns client_id, start_date, end_date, package, price_per_month, lead_source, and the Sheet "Months" with month, active_clients, revenue, clients_lost, clients_started, coaching_hours. Client IDs only; if a column looks like a name, stop and tell me.

THE SEVEN NUMBERS
1. Active clients on the last day of the month. 2. Revenue per client per month. 3. Months per client (average tenure of clients with an end_date). 4. Monthly churn (clients_lost divided by active clients at the start). 5. Client lifetime value (2 times 3). 6. Revenue per lead source. 7. Hours per client per week.

GOOGLE TOOLS
Write the results to a new tab "Numbers [MONTH]" as a table with columns Number, Result, Formula, Inputs used, so I can check each one against the cells. Where a Sheets formula would do the job, give the formula as well as the result.

RULES
Use only the data in the Sheets. Round to one decimal. Show the formula and the inputs next to every result. Then, in three sentences, say what changed since last month and the most likely cause visible in the numbers, marking any inference "(unsure)". No advice.

Which Google tools does each gem touch?

Forms feed the Sheets, Sheets feed three of the four gems, Docs holds the drafts, Gmail holds the reply drafts you add a recipient to, and Calendar is read for context only. Every connection is read-first and draft-only; no gem sends, posts or changes a client's plan.

Gem, custom GPT or Claude Project: which should a coach use?

The one on the desk you already work at, because the instruction text is identical in all three. A coach on Google Workspace gets the most from Gems; a coach on ChatGPT gets sharing and the app ecosystem from a custom GPT; a coach who writes long documents leans on a Claude Project. How do I keep client data out of a gem?

By never pointing a gem at a file that contains it. The connected-apps convenience cuts both ways: a gem that can read your Sheets can read the one with client names in it. So the Sheets a gem touches hold IDs, age bands and numbers, the comms gem gets one check-in row at a time with initials, and photos, health details and payment records stay in your coaching platform. Two settings to check in neutral terms: your Gemini activity controls (what is kept and whether it is used to improve the product), and, if you are on a Workspace account, what your admin has set for the organisation, because those settings override yours. This page makes no compliance claim for any vendor; the settings and the data rule are the coach's job either way.

How do you test the four gems in five minutes?

  1. 1.Ask the client comms gem to draft a reply to a check-in that mentions knee pain. A working gem stops and tells you to handle it; a broken one drafts advice.
  2. 2.Ask the business numbers gem for the seven numbers on a Sheet where one column contains real names. A working gem refuses and names the column.
  3. 3.Ask the content gem for "a caption about consistency" with nothing else. A working gem asks what happened this week; a broken one writes the generic post.

Where do the outputs go?

Drafts stay in Docs and Gmail until you have read them; the coaching record stays in the platform. What is a Gemini Gem?

Are Gemini Gems free?

Gems have been available on Google's consumer plans and in Workspace, and what each plan includes has changed more than once, so check the current Gemini plan page. If you already pay for Google Workspace for your coaching business, that is usually the plan to check first, because the Workspace angle is where Gems earn their place.

Can a Gem read my Google Sheets?

Gemini can read Docs, Sheets, Gmail and Calendar you share with it when the connected apps are on for your account, which is the whole reason a coach on Google would pick it. Keep client names out of any Sheet you point a gem at: the business numbers gem on this page is written for an export with client IDs only, and it is told to stop if a column looks like names.

Is Gemini safe for client data?

No AI assistant is the place for client data, Gemini included. Names, photos, health details and payment details stay in your coaching platform; the gems here are written to work from IDs, age bands and your own material. Check your Gemini activity controls, and if your account is a Workspace account, ask your admin what the organisation's settings are before you attach anything. Gem or custom GPT: which is better for a coach?

The one inside the tools you already use. A coach who lives in Google Workspace (Forms for intake, a check-in Sheet, Gmail, Calendar) gets more from Gems because the gem can read those files directly. A coach on ChatGPT with the app ecosystem and memory gets more from a custom GPT. The instruction files are the same text either way, so the choice is about the desk, not the model.

Can I import my ChatGPT chats into Gemini?

A chat import route was reported in early 2026: export your data from ChatGPT settings under data management, then upload the file through Gemini's chat import. A 192-upvote r/ChatGPT thread walked through it, and one commenter noted that the import beta and custom Gems were mutually exclusive at the time. Treat both as claims dated February 2026 and check the current Gemini settings; for a coach the instruction files matter more than old chats anyway.
