A 742-upvote r/ChatGPT post titled "I think it's time we consider turning off memory for these tools" was a joke thread, and the joke landed because everyone recognised it: the assistant remembers things you did not mean it to keep. For a coach that is not a joke. A saved memory that describes a client is a record you did not intend to hold, in a place your data policy never mentioned. This page sets the six controls that stop it and says when a paid workspace plan changes anything.

Should a coach turn ChatGPT memory off?
On for your own content voice and admin, off or bypassed with a temporary chat for anything that contains a client's words or numbers. Memory carries details from one chat into every later one, which is useful when the detail is your niche and your tone and a liability when it is a client's plateau week. A coach on r/ChatGPTPro explaining why they still prefer ChatGPT still wrote "I actually hate ChatGPT's memory", because it assumes each new task should include the last one; the coaching version of that is a check-in reply that quietly references another client.
Vendors also change the defaults. When the saved-memories system changed, an r/ChatGPTPro post on how to avoid the "upgrade" noted that it arrived enabled, and the top reply described the survival routine: open the saved memories, select all the text, copy it to a file, then decide what to keep. That routine is step one of the monthly review below. Delete any memory that names or describes a client, every month, whatever the default is this month.
What does a temporary chat actually do, and what are the other five settings?
A temporary chat is one the vendor describes as not kept in history or memory and not used to improve the models, with a short retention window for safety review; it is the right home for an anonymised check-in row or a programme brief. The other five settings sit around it. Menus move, so each row names the setting rather than the path; look under data controls, personalisation and memory.

What is project-only memory, and can you trust it?
A setting that limits what a project remembers to chats inside that project. Use it to keep your content project from bleeding into your programme project; do not use it as a privacy boundary for client material. A 652-upvote r/ChatGPT thread, "Despite what OpenAI says, ChatGPT can access memories outside projects set to project-only memory", reported a case the author said they reproduced, with the second most upvoted reply describing a book project that "brings it up with every response regardless of if our discussion is in the project folder or not", and another that the assistant "always proves to me that it can in fact, reference other chats". These are user claims, dated early 2026 and linked here for you to read; the page does not assert them as fact.

Do you need a Team or Business plan as a solo coach?
Not for anonymised work. A consumer plan with the six settings above, plus the rule that no client data is pasted, covers drafting content, replying to anonymised check-in rows and reviewing programmes. A workspace plan (ChatGPT Team or Business, Claude Team, Google Workspace with Gemini) generally excludes your data from training by default and offers a data processing agreement, which is the thing a consumer account lacks and the thing a careful client or a regulator would ask to see in writing. Read the vendor's current agreement rather than any summary, including this one; names, seat minimums and prices change often.
What a workspace plan never does is make pasting client data acceptable. The data still leaves your platform for a third party's servers, and your clients' data lives, by your own policy, in the coaching record. How do you export and delete what ChatGPT holds?
In settings, look for data controls for the export and for chat deletion, and for memory under personalisation for the saved memories; the menus move, the sections do not. Export once a month, delete anything that names a client, and write the date down. The checklist below is the whole routine; it takes five minutes and it is the evidence behind clause 10 of your AI use policy.

The same six controls exist in some form in all three, under different names, and all three have changed defaults in the past year. Where should client data live instead?
In a coaching platform under a data processing agreement, where the check-ins, photos, messages and payment records are held for the client's benefit and can be exported or deleted on request.
