Coaching Tool Stack Cost Calculator.

Most coaches run their business across half a dozen separate subscriptions - a workout builder, a meal planner, check-in forms, a scheduler, file storage, a community space. Tick the ones you pay for, edit the prices to match your invoices, set your client count, and see the monthly and yearly total next to one all-in-one platform. It shows the honest break-even too, because an all-in-one is not always the cheaper option.

The all-in-one price grows with clients; a flat stack of separate tools does not. Drag to find your break-even.

What do you pay for separately?

Untick any tool you do not use. Edit any price to match your invoice.

Program delivery app (default: TrueCoach Starter tier).

Nutrition and meal-plan software (default: That Clean Life Starter).

Form builder for check-ins and onboarding (default: Typeform Basic).

Calls and booking links (default: Calendly Standard, per seat).

Videos and documents (default: Dropbox Plus, 2 TB).

Group space for your clients (default: Circle Professional).

Stripe and most processors charge per transaction (about 1.5% + EUR 0.25), not a monthly fee - so this is EUR 0 / month for most coaches.

Defaults are entry-tier list prices read off each vendor page on 17 August 2026. Tools billed in USD are shown at their list number as a starting point - edit to your exact euro figure.

the short answer

Add up the monthly price of every tool it takes to deliver coaching - the workout builder, the meal planner, the check-in forms, the scheduler, the file storage and the community space - then multiply by 12 for the yearly figure. A typical separate stack lands near EUR 204 a month, or about EUR 2,448 a year. One all-in-one platform at EUR 69 a month with your first 5 clients included, then EUR 9 per additional client, is cheaper up to roughly 20 clients on that stack. Above that, the per-client fee overtakes a flat stack on subscriptions alone - though the flat stack still costs you separate logins, manual exports and no single client record.

how it works

Your real stack cost, not the strawman version.

A coaching business rarely runs on one app. Over time it accretes tools - one for programming, one for nutrition, one for check-ins, one for booking calls, one for storing videos, one for the group chat. Each looks small on its own. Added up, and multiplied by twelve, the total is usually a lot larger than any coach guesses. This calculator makes you add it up honestly, using your own tools and your own prices, so the comparison is not built on a made-up stack. If you are still assembling that lineup, our guide to the online coaching tech stack walks through each tool a coaching business actually needs.

It runs three simple calculations from the tools you tick and the client count you set:

Separate stack / month = sum of the ticked tool prices
Coachway / month = 69 + 9 x (clients over 5)
Break-even clients = 5 + (stack - 69) / 9

The break-even is the honest part. A flat stack of separate subscriptions costs the same at 5 clients and at 50. Coachway is EUR 69 a month with your first 5 clients included, then EUR 9 per additional client, so it climbs as you grow. That means there is a client count where the two lines cross. Below it, one platform is cheaper. Above it, a genuinely flat stack of point tools can win on raw subscription euros. A page that hid that would be lying to you.

Two caveats keep the comparison fair. First, payment processing is left out of the monthly total, because Stripe and most processors charge per transaction - about 1.5% plus EUR 0.25 on a European card - not a monthly fee, and those fees scale with revenue whether you use one tool or six. Second, most "flat" tools are not actually flat: a workout app charges per active client, a scheduler charges per seat, a community platform bumps you to a higher tier as it grows. So a real stack tends to climb too, which pushes the break-even further to the right than the raw math suggests.

for coaches

Price is only half the hidden cost.

When the subscription line is close, the deciding cost is the one that never shows up on an invoice: the time. Six tools mean six logins, six places a client's data lives, and a lot of copying between them - the workout you built here, the check-in that came in there, the payment recorded somewhere else. Nothing talks to anything, so you become the integration. That is the real reason a stack that looks cheap per month can be the more expensive way to coach. For how the subscription side alone prices out across flat, per-client and percentage models, see our guide to what online coaching software costs.

Run your own numbers first, then read the total the way you would read a client's food log - honestly. If you are under the break-even, consolidating is a straight saving. If you are over it, weigh the flat euros you would keep against the hours you would spend keeping six tools in sync. Pair this with your coaching profit and client lifetime value, because software is one of the few costs you can cut without touching the quality of your coaching.

built for coaches

One platform where the whole stack used to be.

Coachway puts the workout builder, the meal planner, the check-in forms, scheduling, file storage and a branded client app on one screen, all sharing one client record - so the stack you just added up collapses into a single line. Every feature is included at EUR 69 a month with your first 5 clients, then EUR 9 per additional client. Keep your own Stripe through Coachway payments so the platform never holds your money. The 14-day trial charges EUR 0 today and needs a card to start, held securely by Stripe, and you can cancel anytime.

common questions

Frequently asked.

Is an all-in-one coaching platform always cheaper than separate tools?

No, and this calculator shows exactly where that flips. A flat stack of separate tools costs the same whether you have 5 clients or 50. Coachway is EUR 69 a month with your first 5 clients included, then EUR 9 per additional client, so its price grows as you add clients. On the default stack of about EUR 204 a month, the break-even sits near 20 clients: below that Coachway costs less, and above it a flat stack of separate tools is cheaper on subscriptions alone. The honest catch is that most of those "flat" tools are not flat - they charge per seat or per active client too - and none of them share one client record.

How do I add up what my current coaching tool stack really costs?

List every subscription it takes to deliver coaching - the workout builder, the meal planner, the check-in forms, the scheduler, the file storage and any community space - and add up the monthly price of each. This calculator gives you a row per tool with an editable default, so you can start from typical entry prices and swap in your exact figures. Then multiply by 12 for the yearly number, which is usually the one that surprises people.

Where do the default prices come from?

Each default is the entry-tier list price read off the vendor pricing page on 17 August 2026: TrueCoach Starter, That Clean Life Starter, Typeform Basic, Calendly Standard, Dropbox Plus and Circle Professional. Some of those bill in USD, so they are shown at their list number as a starting point - edit any field to match the exact euro figure on your invoice. Payment processing defaults to EUR 0 a month on purpose, because Stripe and most processors charge per transaction, not a monthly subscription.

Does the comparison include payment fees?

Not as a monthly line, because they are not monthly. Stripe charges roughly 1.5% plus EUR 0.25 per European card transaction with no subscription fee, and Coachway lets you keep your own Stripe account so the platform never holds your money. Optional built-in Coachway payments carry a 2.4% per-transaction fee. Either way, card fees scale with revenue on both sides, so they are close to a wash and are left out of the monthly subscription math here.

What does consolidating separate tools into one platform actually save?

Two things. The obvious one is the subscription total you just added up. The less obvious one is the time and the errors: separate tools mean separate logins, manual exports to move a client between them, and no single record of what a client is doing. That fragmentation is the real hidden cost of running many tools, and it is the reason a stack that looks cheap per month can still be the more expensive way to coach.

This calculator is a planning aid, not financial advice. Vendor prices change and vary by region, tier and billing period - always confirm on the vendor's own page before deciding. Payment-processing fees, taxes and per-seat scaling are not modelled here.
