How to Switch from QuickCoach: CSV, Plan PDFs and Billing

If you are leaving QuickCoach because your client list is close to the Free plan's 20-client limit, plan the exit around that limit first, because it decides what you can still open and export. These official workflows cover the client list, plans and recent progress, with clear limits on what each one proves.

QuickCoach documents a client list CSV from its Client List Export workflow, which needs Pro plus the Coach Workflows add-on (USD 14.99 a month), and a PDF of any plan from the printer icon. Its help center says tasks have no native export. It does not process client payments, so client billing already sits outside QuickCoach.

What you can export from QuickCoach

Client list: CSV from the Client List Export workflow

QuickCoach's Client List Export emails you your full client list with a plan breakdown (upcoming, draft, done and skipped), completion rate, last-activity dates and each client's training link, with a CSV attached. It is one of the Workflows in the Coach Workflows add-on, priced at USD 14.99 a month on top of Pro. Add-ons require an active Pro subscription, and adding one bills a pro-rata charge straight away.

The documented contents do not mention email addresses or phone numbers, so open the file and check before you rely on it for invitations. Missing details are on each client's Details & Notes page. Clients sign in to QuickCoach with their link and no password, so store the CSV securely and do not forward it.

  1. In Account Settings, open Subscription Management, then Add-ons, and switch on Coach Workflows.
  2. Open the Workflows page, choose Client List Export, confirm the email address and run it.
  3. Save the CSV and compare its row count with your Clients page, using the All view if you also need inactive clients.

Plans: save a PDF from the printer icon

In a client's account, the printer icon exports any plan as a PDF, and QuickCoach lists it among the actions available in every plan tab: Drafts, Upcoming, Skipped and Completed. Clients have the same printer icon inside a plan. On Pro, printouts carry your branding.

A PDF is a reference for rebuilding, not an importable program. The help center does not say whether a completed plan's PDF includes the results the client logged, so print one completed plan and check it before you count on it as a record of past training.

One client's progress: Insight Report PDF and audio notes

The Client Insight Report is another Coach Workflows action. It emails you a PDF for one client covering the last eight weeks of plans, adherence trends, fatigue signals and how the client says they have been feeling. Audio notes that clients leave as feedback can be downloaded one at a time from the three-dot menu.

Eight weeks is a handover summary, not the full record. Run the report for the clients who need continuity, and decide separately how you will keep older results, check-in answers and measurements.

QuickCoach does not process client payments

QuickCoach says it deliberately does not process client payments. Coaches bill clients through whatever they already use: bank transfer, Stripe, PayPal, direct debit or a gym's billing system. Its help center also describes invoice plans, which list a bill inside the client's app but do not collect the money.

Leaving QuickCoach therefore does not move a payment account. The billing decision is about the destination: keep your current tool, or let the new platform take over. If you already bill through your own Stripe account, ask the destination whether it connects to that account and how existing subscriptions would be handled. Stripe documents subscription migration separately; do not assume a coaching app uses it. If you used invoice plans, save the outstanding ones as PDFs.

Your own QuickCoach Pro subscription is a separate matter. It runs through a Stripe portal under Manage Subscription, where you can download receipts and cancel. QuickCoach's terms say access continues until the end of the billing period, and deleting your account does not cancel the subscription.

At 20 active clients, the Free plan locks the workspace

QuickCoach Free supports up to 20 active clients. Once you reach 20 active clients, QuickCoach says it locks the workspace until you upgrade: sign-in shows only an upgrade screen, you cannot reach the Clients page to deactivate anyone, and the cap is not lifted case by case.

On Free, marking a client Inactive also closes that client's history to you and cannot be reversed without upgrading. QuickCoach says the data is preserved and that upgrading to Pro restores access and lets you export information. If you are leaving because you outgrew Free, budget for Pro (USD 39 a month or USD 390 a year) plus the Workflows add-on for the export period. The homepage mentions a 14-day Pro trial; the docs do not say whether add-ons work during it, so ask support before counting on it.

Before Pro ends, bring your active clients down to 20 or fewer, which QuickCoach says is required to downgrade to Free. Over the limit, Free locks you into the upgrade screen again. On Pro, clients you mark Inactive keep their history on your side, so deactivate the ones who have already moved while Pro is still active.

Inactive, delete and account deletion all end client access

Marking a client Inactive revokes their access on every plan: they see an Account Deactivated screen and their client link stops working. Deleting a client is permanent, and their data cannot be recovered. Deleting your QuickCoach account means your clients can no longer log in or open their plans.

Keep each client Active until they are set up and training in the destination. If you want a client to keep access without new work, QuickCoach suggests moving their upcoming plans to Drafts instead. Delete the account only after exports are saved and the Pro subscription is cancelled.

Tasks, history and check-in answers have no documented export

QuickCoach's help center says there is no native import or export for tasks, the library that holds your exercises and any check-in or measurement tasks you saved to it. Check-ins and forms are built in the plan builder, with each question set up as a task.

History, which collects every result a client logs, is documented as a view inside the client's account, and so are food logs and habit history. Beyond plan PDFs and the eight-week Insight Report, the help center does not describe a bulk export for them. QuickCoach's terms say you retain ownership of content you upload, but they also bar using automated tools to extract data, so do not plan on scraping it. The privacy policy directs data requests to [email protected] and lists data portability among the rights of EU and UK residents; ask support what it can provide, and in what format, before you plan around it.

Before you cancel QuickCoach

  1. Decide how you will export before a Free account reaches 20 active clients, because the workspace then locks until you upgrade.
  2. Run the Client List Export, check the CSV row count against your client list and fill any missing contact details from Details & Notes.
  3. Save PDFs of the current and upcoming plans you need, and of one completed plan to see what a printout keeps.
  4. Test a rebuilt plan, client login and check-in in the destination with a pilot group who stay Active in QuickCoach until it passes.
  5. Cancel Pro and any add-ons in Account Settings before deleting the account, since deletion does not cancel the subscription.

Choose the switch date after a sample migration passes. The required overlap depends on rebuild work, provider support, client availability and billing dates. Clear communication helps, but it cannot guarantee retention or repair missing data.

Questions about leaving QuickCoach

Can I export my client list from QuickCoach?

Yes, through the Client List Export workflow, which emails you a CSV. It is part of the Coach Workflows add-on, USD 14.99 a month on top of Pro. The documented fields cover plan status, completion rate, last activity and each client's training link; check whether the file includes the contact details you need.

What happens if I reach 20 clients on the Free plan while I am moving?

QuickCoach says the workspace locks until you upgrade to Pro, and you cannot open the Clients page to deactivate anyone from the upgrade screen. Keep your active clients below the cap while you save what you need, or plan for at least a month of Pro.

Does QuickCoach use Stripe for client payments?

No. QuickCoach says it does not process client payments; you bill clients through your own tools, such as Stripe, PayPal or bank transfer. It uses a Stripe portal for your own Pro subscription, which is separate from client billing.
