Coaching software trial checklist: test the work before you switch.

A useful coaching software trial is a rehearsal of your working week. Use one dummy client to build a plan, handle a check-in and read the result on a phone. Record what works in the subscription you would actually buy. Check imports, billing and cancellation before inviting your whole client list.

Set up one repeatable test case

Create a fictional client, a three-session training week and one check-in. Include a missed session, an exercise substitution and a message that needs a reply. If you sell nutrition coaching, add the kind of nutrition task you really deliver. A habit coach and a meal-plan coach should not judge every platform by the same nutrition checklist.

Write down your three non-negotiables before seeing the demo. They might be a client app in Norwegian, editable meal plans and a way to review training beside check-ins. Someone else may need group programming, team permissions or a particular billing setup. This prevents the vendor's strongest feature from quietly becoming your most important criterion.

Record the product, subscription tier, date, phone and browser. Trial accounts can include features that cost extra later. Ask which parts of the trial remain available on the plan you intend to buy.

Your coaching software trial scorecard

Pick your three must-have tasks before testing. Record evidence for each result. A blocker on a must-have stays a blocker, even if every other row passes.

  1. 01. Repeat your busiest weekly task

    Review a check-in, inspect the last result, change the plan and send feedback. Repeat after learning the screen.

    Write down: First-run and repeat-run minutes; screens visited; missing context.

  2. 02. Adapt a training week

    Duplicate a week, replace one unavailable exercise and adjust the next session. Open the result as a client.

    Write down: What changed; whether the original stayed intact; client view.

  3. 03. Deliver your nutrition service

    Use the workflow you sell: habits, a food diary, macro targets or meal plans. Make one realistic adjustment.

    Write down: Required add-on; food or recipe coverage; what the client sees.

  4. 04. Use the client app on a phone

    Sign in as a test client, find the plan, log a result and send a message. Check the language your clients need.

    Write down: Device and language tested; anything requiring coach help.

  5. 05. Handle a missed check-in

    Find an overdue check-in and establish how a reminder is sent. Preview any automation before enabling it.

    Write down: Who receives the reminder; trigger; delay; how to stop it.

  6. 06. Hand a client to another coach

    If you work as a team, check the invited role can see what it needs and cannot see unrelated client records.

    Write down: Role tested; access boundaries; extra seat cost, if any.

  7. 07. Rehearse an import and an exit

    Use dummy records. Open an export, inspect its fields and ask which parts can be imported as editable data.

    Write down: Actual file format and contents; rebuild work; support confirmation.

  8. 08. Verify billing and cancellation

    Identify the Stripe account and subscription owner. Review renewal, cancellation and migration steps with support.

    Write down: Next charge date; account ownership; what still needs confirmation.

  9. 09. Get a complete price

    Request the total at your current and target client count, including the features and seats you will use.

    Write down: Currency; billing interval; tax treatment; add-ons; quote date.

  10. 10. Test support with a real question

    Ask one specific question about the workflow you could not complete. Record the answer and reproduce it.

    Write down: Question; response time observed; whether the answer solved it.

Use these results: Pass, Blocker, Not tested, or Not needed. A feature seen in a sales demo is still “Not tested” until you reproduce it in the plan you would buy.

Measure the second attempt as well as the first

You know your current platform's shortcuts. You do not know a new platform's shortcuts yet. Comparing your best run in the old app with your first confused run in the new one is not a useful speed test. Record both attempts, use a short tutorial where needed, then repeat the same task without assistance.

Measure the whole task. A fast workout builder does not save time if you spend the next ten minutes finding the client's feedback. Start when you open the client record and stop when the client can see the completed update. Record errors and missing context alongside the timer.

A worked example, not a product benchmark

Suppose your repeat check-in task takes 8 minutes in your current app and 6 minutes in the candidate. At 40 weekly check-ins, the observed difference is 80 minutes per week: (8 − 6) × 40. That is a planning estimate from your test, not a promised saving.

If setup and rebuilding take 12 hours, recovering that time at 80 minutes per week would take 9 weeks. Add subscription differences separately. If the client experience gets worse or a required workflow fails, the time calculation does not settle the decision.

Two things a polished demo cannot prove

1. A file export will become editable data

Ask to see an actual sample file and what happens when it is imported. Trainerize, for example, documents a CSV of basic client contacts and PDF backups of workouts. 2. Connecting Stripe will move existing subscriptions

Identify which account owns your customer and subscription records. Stripe's account-copy documentation excludes subscriptions from the data copied by that service; subscription migration is a separate process. Ask both providers what happens to each active subscription and its next charge date. Do not run a live charge simply to mark this row as tested. Source: Stripe account-copy documentation.

Use the client migration checklist when you reach this stage. A trial checks whether the product fits; a migration plan establishes what can move and when.

Make a decision you can explain

First, resolve every blocker and every untested must-have. Ask support to show the workflow in your intended plan and repeat it yourself. Mark optional tasks as Not needed when they do not belong to your business; a solo coach does not need to penalize an otherwise suitable app for an unused team workflow.

Then compare total cost at your current and target client counts, the time required for repeated work, the rebuild effort and the client's experience. Save the dated quote and the completed worksheet. A screenshot of a pricing headline does not capture seats, add-ons, billing intervals or taxes.

If the replacement passes, start with a small agreed pilot before committing every client. If your current platform wins the tasks that matter, keeping it is a valid result. The point of this checklist is to make the choice specific enough that you know why you made it.

What should I test during a coaching software free trial?

Test your repeated coaching work first: adapt a plan, review a check-in, send feedback and use the client app. Then verify data exports, payment ownership, the complete price and cancellation. Use the same test case on your current platform and each replacement.

How do I compare two platforms fairly?

Choose your must-have tasks before opening either product. Use the same dummy client and plan, record the subscription tier and test date, and distinguish a first attempt from a repeat attempt. Mark anything you cannot verify as Not tested rather than treating a feature-list claim as a pass.

Should I move real clients into the trial?

Start with a dummy client. Once the core workflow passes, arrange a small pilot with a willing client and agree how their information and billing will be handled. Do not move your whole client list just to discover whether an export can be imported.

Does a higher total score mean a better platform?

Not necessarily. A platform can pass nine tasks and fail the one your coaching service depends on. Resolve must-have blockers first, then compare the time, cost and client experience of the remaining options. This worksheet deliberately does not award a universal vendor ranking.
