Healthie documents a Client List CSV, chart note and form PDFs, a single-client EHI export and a support-run export for account owners. Payments run on a Stripe account Healthie creates, with no direct dashboard login, and card details cannot be exported. Healthie says it cannot export client data after you cancel, so download everything first.

What you can export from Healthie
Client list and appointments: CSV reports
Healthie's Client List report is under Visualize > Reports > Client List > Generate Report. It can take up to 30 minutes, and the CSV is saved to the Generated Reports folder in your Documents. Its columns include client ID, names, status, group, tags, assigned provider, date of birth, phone, email, address, billing type, insurance details and the dates each client was added and archived.
You cannot set a date range or filter out archived clients, so expect active and archived clients in one file. Its listed columns do not include chart notes, journal entries, messages or payments. Healthie says appointments cannot be exported, but the Appointments report under Visualize > Appointments saves a CSV for the date range you choose.

Full client records: the EHI export and a request for everything
Healthie's EHI export, part of its ONC certification, can be started for one client from the Charting section of their profile. Its CCDA article shows the option as Download Client EHI in the Records box on the Charting tab. If you do not see it, ask Healthie support whether it is available on your plan. The result is a zip of CSV files, PDFs and a Documents folder. The file list includes Client_Overview.csv, FoodEntry.csv, MetricEntry.csv, Goals.csv, Messages.csv, Payments.csv, Charting.pdf and journal_entries.pdf.
For all clients at once, the account owner files Healthie's File Data Export Request; Healthie says it offers this help to paid memberships. Its articles describe the result differently. The general export article says the standard export only includes charting notes and documents, as a zip placed in your Documents. The EHI article says a patient population export holds one folder per client with the same files as the single-client export. Say which one you need, allow time for it and open the zip before you rely on it.
Check messages on your test client too. The EHI file list includes Messages.csv, but the general export article says chat history cannot be exported except by users of Healthie's API. These files are a record for you to keep. Do not assume another platform can import them.
- Open a test client's profile, go to Charting and download their EHI export.
- Open every file and note what is missing or hard to read.
- As the account owner, file the File Data Export Request and name the export you need.

Chart notes, forms and journals: per-client PDFs
In each client's Charting tab, Healthie's Generate PDF button combines the charting and intake notes you tick. Choose All Dates from the Archive date menu to include every prior note. If you select under 15 notes, they open in a browser tab to save. If you select over 15, the PDF is saved to the Documents page of the client's profile.
A single completed intake form can also be saved from Charting > View Client Forms > View > Save as PDF. Download Client Summary under Charting saves a PDF of the client's logged journal entries. Blank form templates can be generated as PDFs from the form editor, which helps when you rebuild your forms elsewhere.
These PDFs are good for reference and for giving a client their own record. They do not rebuild anything, and the work grows with every client, so decide which clients need their history carried over before you start.

Programs and the documents library: no program file export
Healthie documents copying a program inside your account and sharing a copy with another Healthie provider. Both keep the program inside Healthie. Neither the program article nor the sharing article describes downloading a program as a file.
A program is built from modules: emails saved under Email Templates > Program emails, forms, video links from YouTube or Vimeo, and documents from your library. Your videos already live on YouTube or Vimeo. The documents library, which Healthie says can hold recipes, meal plans and handouts, has a Download action for each resource. Save those files, copy the email text and note when each module is released so you can rebuild the program.

Healthie's Stripe account is only reachable through Healthie
Healthie says linking your bank account automatically creates a Stripe account for you, that pre-existing or personal Stripe accounts cannot be connected, and that it is not possible to sign directly into the Stripe dashboard for that account. It also says recurring payments and invoicing are custom-built by Healthie, and its export article says it does not support exporting credit card details. Plan your payment records around Healthie's own reports.
Save the payment history inside Healthie. The Payments report under Visualize > Payments can be filtered by date range and provider, lists successful payments with the Stripe fee and net amount received, and is saved to Documents > Generated Reports. The Payment Details table, which also shows failed payments, can be downloaded as .csv, .xlsx or .json. Scheduled payments appear under Billing > Payments with a clock icon, so list each one with its client and next charge date.
Clients cannot cancel a Healthie package themselves; you do it for them. Stop Automatic Payment ends a scheduled or recurring payment, and only paused payments can be resumed, not stopped ones. Whether you stop or pause, the client keeps the credits, programs and products from the package. Agree the last Healthie charge and first new charge for each client so no one pays twice, and plan for clients to enter card details again with the new provider.
If the destination is Coachway, payouts go to your own Stripe account and built-in payments cost 2.4% per transaction.

Archiving cancels payments but does not lock clients out
Healthie says archiving a client cancels their upcoming appointments and scheduled payments, and suggests archiving after the final payment if you want a subscription to finish. Archive each client only once their new billing is agreed.
By default, archived clients can still message you in an existing chat, log journal entries, view programs they are enrolled in, and book an appointment or buy a package from a shared link. Booking or buying makes them active again automatically. Healthie points to per-client settings, such as turning off Schedule Appointments and Can View & Purchase Packages, and to a setting under Settings > Journal Entries > Inactive Access that locks archived clients out of login and stops automated emails.
After you cancel, Healthie cannot export your data
Healthie says that once you cancel, it cannot export or transfer client data, and you lose access to your account and client information unless you reactivate. Your access runs to the end of the current billing cycle. Finish the reports, PDFs, EHI files and export request before you cancel.
You cannot permanently delete clients from Healthie; it cites HIPAA and healthcare data retention standards. Your clients' Healthie accounts do not expire when you cancel, so archive clients and packages and remove your availability so no one keeps booking or buying. Healthie also reminds you to store what you download in a HIPAA-compliant way, because you remain responsible for that information.

Deleting a package cancels future payments for everyone on it
Healthie says deleting a client package cancels future payments for existing clients on it, and it recommends not deleting a package that still has enrolled clients. Archiving a package stops new purchases but keeps scheduled payments for recurring packages running.
Both act on the package as a whole, not on one client. Stop payments client by client as each person moves, then archive the packages once no one depends on them.
Before you cancel Healthie
- Generate the Client List and Appointments reports and save the CSVs from Generated Reports.
- Run the EHI export for one test client and open every file, including Messages.csv.
- As the account owner, file the File Data Export Request early and check the zip when it arrives.
- Download the Payments report and Payment Details, and list each client's scheduled payments.
- Agree each client's new billing before you stop their payments or archive them, and cancel Healthie last.
Choose the switch date after a sample migration passes. The required overlap depends on rebuild work, provider support, client availability and billing dates. Clear communication helps, but it cannot guarantee retention or repair missing data.

Questions about leaving Healthie
Can I export my client list from Healthie?
Yes. The Client List report under Visualize > Reports generates a CSV of your clients, active and archived, with contact details, status, tags, group and assigned provider. It cannot be filtered or limited by date, and its listed columns do not include chart notes, messages or payments.
Can I take my Healthie Stripe account or saved cards with me?
Healthie creates the Stripe account, you cannot sign directly into its Stripe dashboard and you cannot connect an existing Stripe account. Its export article says credit card details cannot be exported. Download the Payments report as your record and plan for clients to add a card with the new provider.
Can I still export my Healthie data after cancelling?
No. Healthie says it cannot export or transfer client data once you cancel, and you lose access unless you reactivate. Access lasts until the current billing cycle ends, but Healthie advises downloading what you need before cancelling.
