How to Switch from Coach Catalyst: Exports and Stripe Checks

Coach Catalyst documents several exports, but each covers a different part of your business and none of them moves a whole account. Before you set a switch date, save what the official workflows allow, list what you will rebuild and treat recurring billing as a separate job. These official pages show what each export covers and what it leaves out.

Coach Catalyst's help center documents a client list download, CSV exports of form responses, downloadable metric reports and single workouts saved as PDF. It documents no file export for programs, lessons, actions (its habits), messages or photos. Payments run through a Stripe connection, and subscription changes are made in Stripe, so plan billing separately.

What you can export from Coach Catalyst

Client list: a download on the Clients page

Coach Catalyst's Clients page article says that across the top of the page you can choose a date range, search for clients, adjust filters, download your client list and add new clients. It does not state the file format or which fields the download contains.

Download it, open it and compare it with the Active and Archived tabs before you rely on it. The same article says you can choose which columns the client table shows and filter by fields such as program, coach and client tags, but it does not say whether those settings change the download. For paying clients, a customer export from Stripe is a useful cross-check.

Form responses: a CSV export per form

Coach Catalyst's Forms article says forms are commonly used for weekly check-ins, end of program reviews and progress reflections. To see all submissions for a form, go to Programs > Forms, open the menu next to the form and select View Responses. From there you can export responses as a CSV.

That export is per form, so repeat it for every check-in and intake form you use. Archived forms are listed separately in the Archived Forms tab, so include older check-in forms in your list. Forms can include photo questions, and the article does not say how photo answers appear in the CSV. Open each file and check it before you plan around it.

  1. Go to Programs > Forms.
  2. Open the menu next to a form and select View Responses.
  3. Export responses as a CSV and repeat for each form.

Metrics: a report you can download as a file

Under Reports, Coach Catalyst lets you pull a report filtered by coach, dates, clients and one or more metrics, or for all clients. Its Reports article says you can then export the report by choosing Download As File. It does not list the columns the file contains.

Pull the report for all clients, the full date range and every metric you track, and record the filters you used so a partial file is not mistaken for the whole history. Progress photos are set up as photo metrics in Coach Catalyst, and the Reports article does not say whether photos are included, so plan for them separately.

Programs, messages and photos: no documented file export

Coach Catalyst builds programs from elements: lessons, actions, forms, messages and workouts. Its nutrition coaching article says habits are called actions. The help center documents no file export for programs, lessons or actions.

Workouts can be saved one at a time: open Preview as Client, go to Workouts, click Print Workout and print it or save it as a PDF. A program's Copy Shareable Link lets another coach save a copy to their own Coach Catalyst account, so it does not move content out of Coach Catalyst. Plan to rebuild programs in the destination, starting with a few representative ones to estimate the work.

The help center also documents no export for message history or progress photos, and its Zapier article describes creating clients in Coach Catalyst from other apps, not sending records out. Coach Catalyst's privacy policy lists GDPR rights to request a copy of your personal data and to receive data in a structured format, and gives [email protected] as the contact. It does not say whether that covers the client records in your account, or state a format or response time. Ask early, name the records you need and keep the reply.

Coach Catalyst payments run through a Stripe connection

Coach Catalyst's Payments feature connects to Stripe. Its setup article says you may log in to Stripe or create an account while connecting, and lists the fee for using the Stripe integration as 3.99% + USD 0.30. Payout balances and history are shown in Coach Catalyst, with more detail in the Stripe dashboard.

Coach Catalyst says any change to an existing subscription, including a product switch, must be done in Stripe, because it has no tools to modify existing subscriptions directly. Its guide tells you to check that you are in the correct Coach Catalyst managed part of the Stripe account. Stripe documents exporting customer details from the Customers section of its dashboard. Save that export and record each active subscription with its next charge date before you change anything.

Moving recurring billing is a separate task. Ask Coach Catalyst and the destination provider how these subscriptions can be handled. Stripe documents a Billing migration toolkit for moving existing subscriptions, including from an existing Stripe account, but that does not mean either coaching platform supports it for your account. Agree the last old charge and first new charge for each client so no one is billed twice.

Coach Catalyst lists buyers per product under Payments > Products, and free products need no Stripe integration. Use those product lists as well as Stripe when you record who has access to what. In Coachway, payouts go to the coach's own Stripe account and built-in payments cost 2.4% per transaction.

Archiving removes clients from programs, and deleting erases their history

Coach Catalyst says archiving a client removes them from current programs and client tags, and that you can no longer message them or assign them new programs, tags or resources while they are archived. Deleting a client permanently removes all of their data, including message history, compliance and metrics, and cannot be reversed.

The archive article does not say whether archiving cancels a client's Stripe subscription. Save your exports before archiving or deleting anyone, and cancel subscriptions deliberately, from the client's profile or in Stripe, once replacement billing is agreed. Archiving also does not downgrade your Coach Catalyst plan automatically.

Cancelling your account stops client programs and messages

Coach Catalyst says cancelling your account deactivates your login and stops all client programs and communication at the end of your current billing cycle. Your data and settings are saved for 12 months, so you can reactivate during that time.

Keep your plan active until the last group of clients has moved and your exports are saved and checked. The billing article does not say what happens to client subscriptions in Stripe when you cancel, so ask Coach Catalyst before you do.

Clients will install and log in to a different app

Coach Catalyst clients use the MyCoach app, or your branded app if you pay for one. Coach Catalyst says a branded app is listed in the App Store and Google Play under your app name and logo, using developer accounts you set up and invite it to. The help center does not say what happens to that listing or those accounts when you leave.

Coach Catalyst sends new clients a welcome email with login details, and their activation code can be used as their password. Send every client new login instructions for the destination, and check that each one has logged in before their Coach Catalyst access ends.

Before you cancel Coach Catalyst

  1. Download your client list from the Clients page and compare it with the Active and Archived tabs.
  2. Export responses as a CSV for every check-in and intake form, and check how photo answers appear.
  3. Pull a metrics report for all clients and the full date range, download it and record the filters you used.
  4. List the programs, lessons, actions, messages and photos with no documented export, save key workouts as PDFs and ask [email protected] what it can provide.
  5. Export customers from Stripe, record each subscription's next charge date and agree the last Coach Catalyst charge and first new charge per client before archiving anyone or cancelling your plan.

Choose the switch date after a sample migration passes. The required overlap depends on rebuild work, provider support, client availability and billing dates. Clear communication helps, but it cannot guarantee retention or repair missing data.

Questions about leaving Coach Catalyst

Can I export my client list from Coach Catalyst?

Yes. Coach Catalyst's Clients page article lists a download for your client list at the top of the page. It does not state the file format or fields, so open the file and check it. For paying clients, a customer export from Stripe is a useful cross-check.

Can I export Coach Catalyst programs and habits?

Not as files, based on its help center. Habits are called actions in Coach Catalyst, and no export is documented for programs, lessons or actions. You can save single workouts as PDFs from Preview as Client, and a program's shareable link only copies it into another Coach Catalyst account.

Does Coach Catalyst use Stripe for client payments?

Yes. Its Payments feature connects to Stripe, with a listed fee of 3.99% + USD 0.30 for the Stripe integration. Coach Catalyst says changes to existing subscriptions must be made in Stripe, so ask both providers how your subscriptions will be handled before you switch.
