How to Switch from TrainHeroic: Exports and Billing Checks

TrainHeroic says everything is designed to be delivered in its own app, and its help center is plain about what that means for exports. Before you set a switch date, save the records it does let you take, ask athletes to download their own history and treat Marketplace billing as a separate job. These official pages show what each option covers and where the gaps are.

TrainHeroic's help center says there is no way to export training plans or history, so plan to rebuild programs. Coaches can download a CSV of active athletes with name, email and start date, and print or copy Analytics. Athletes can export their own history as CSV files. TrainHeroic runs Marketplace billing and pays coaches via PayPal.

What you can export from TrainHeroic

Programs and training history: no documented export

TrainHeroic's FAQ answers the question directly: it does not have a way to export training plans or history, because everything is designed to be delivered in-app. Its Copy Program feature and Save to Library shortcut keep copies inside your TrainHeroic account. Neither article describes a downloadable file.

TrainHeroic also says it is not designed to share programs or Libraries between separate organizations, and its customization article says its API is closed. Plan to rebuild training content in the destination. Rebuild a few representative programs first, including any percentage-based sessions tied to working maxes, so you can estimate the rest of the work.

Athlete list: a CSV of names, emails and start dates

TrainHeroic documents exporting your active athletes by group as a CSV file. The file includes each athlete's name, email and start date for the Team or group.

That file is a contact list, not a training record. The article lists no results, notes or working maxes, and it covers active athletes only. The private notes you keep in each Athlete Account drawer have no documented export, so copy any you need by hand.

  1. Log in to your coach account on the web and open Athletes.
  2. Open the 3-dot menu in the upper right and select Export Athletes.
  3. Choose a Team or group, select Download CSV and repeat for each group.

Analytics: print to PDF or copy rows into a spreadsheet

TrainHeroic says there isn't a true Export option in Analytics. It suggests printing a report from the browser's File and Print menu, where you can save it as a PDF, or highlighting the rows and columns and pasting them into a spreadsheet. The reports it lists are Compliance, Training Summary, Readiness Analytics, Lift History, Lift Progress, Lift Performance and Marketplace Analytics.

Each report is run for a chosen athlete or team, lift and date range, so this is manual work. TrainHeroic also says you can only report on active athletes. Decide whose lift history and working maxes you actually need, and save them before you archive anyone.

  1. Open Analytics and choose the report, athlete or team, lift and date range.
  2. Print to PDF from the browser, or copy the rows into a spreadsheet.
  3. Compare the saved copy with the screen before relying on it.

Athletes can download their own data

TrainHeroic's GDPR export lets an athlete download a zip file of CSVs from account.trainheroic.com/data-export on the web. It includes profile information, training history with logged exercises, weights, reps and sets, sent chat messages and media, readiness survey responses, and nutrition data for Athlete Pro subscribers who logged it. TrainHeroic mentions moving to a new platform as a reason to use it, and says the export must be started from the athlete web portal, not the mobile app.

The athlete runs this export, not you. Ask athletes who want their history to download it and share what is useful for their coaching. For your own account, TrainHeroic's security FAQ says coaches are in a business-to-business relationship to which GDPR does not apply. Its privacy policy lists a right to a portable copy of personal data where applicable law provides it, requested through [email protected], but does not say that covers programs. Ask support what it can provide and keep the reply.

Marketplace billing runs through TrainHeroic, with PayPal payouts

How you bill depends on how athletes joined. For athletes you invite under a Coach Plan, TrainHeroic says you are responsible for billing them outside TrainHeroic, so that billing already sits with you. For Marketplace teams and programs, athletes are billed through TrainHeroic, which says it manages billing, cancellations, team switches and refunds.

TrainHeroic pays Marketplace sales via PayPal on the 15th of each month for the prior month's sales. Its security FAQ says card details are stored with its processor Braintree, and its privacy policy lists Braintree, Stripe and Zuora among providers that process payment information on its behalf. None of the Marketplace articles describes connecting your own Stripe account or transferring subscriptions to another platform. Unless TrainHeroic support tells you otherwise, plan for each athlete to cancel on TrainHeroic and sign up again with your new billing.

Before you give notice, print or copy the detailed view in Marketplace Analytics, which TrainHeroic says shows who signed up, their email, attribution, sign-up date, amount paid and your take-home pay. Only the head coach can review it. Teams can be monthly or annual subscriptions, and athletes keep access until the end of their billing cycle after cancelling. Note who is on an annual plan and agree each athlete's last TrainHeroic charge and first new charge so no one pays twice.

If you move to Coachway, payouts go to your own Stripe account and its built-in payments cost 2.4% per transaction.

Archiving an athlete ends your access to their results

TrainHeroic says archiving removes an athlete from all teams and your organization, and you can no longer view their training results, message them or program for them. You can only report on active athletes in Analytics, and TrainHeroic does not send the athlete any message that they have been archived.

Archived athletes keep their own logged training data and can be restored from the Archived list. Marketplace athletes cannot be removed by you; TrainHeroic archives them automatically when their subscription ends. Save your records and send your switch message while athletes are still active, and archive invited athletes only after they are training in the new app.

Deleting a team does not end Marketplace subscriptions

TrainHeroic says deleting a team does not remove its athletes, delete their programming or cancel their Marketplace subscriptions. Its seller terms repeat that deleting a team or removing it from the Marketplace does not automatically cancel paid subscriptions.

To stop selling, TrainHeroic requires 30 days' notice and says you must keep programming live on your teams until all athletes have fully cancelled. Its seller terms say it will cancel existing athlete subscriptions for you, while its coach cancellation article says athletes also need to cancel their own team subscriptions. Confirm in writing with support who cancels each subscription, and send athletes TrainHeroic's cancellation instructions as well.

TrainHeroic does not refund Coach Plans, and your coach access runs to the end of the current billing cycle. If you sold on the Marketplace, it says your outstanding balance is paid out on the 15th of the month after any refunds are processed.

Rebuild only the programming that is yours

TrainHeroic's terms say you retain all rights in your User Content, which they describe as including training programs, training logs and training data. The same terms restrict copying or using other content on the site, except your User Content, without permission. TrainHeroic also includes free programming with a paid Coach Plan, and coaches can buy other coaches' programming through the Marketplace.

Before you rebuild, separate your own programs from anything that came from TrainHeroic or another coach, and ask the owner before carrying those over.

Before you cancel TrainHeroic

  1. Download the athlete list CSV for each team or group, and note that it holds only names, emails and start dates.
  2. Print or copy the Analytics reports you need while each athlete is still active, since archived athletes drop out of reporting.
  3. Ask athletes who want their training history to run TrainHeroic's web data export and keep their own copy.
  4. Rebuild a sample of your own programs in the destination and test them with a pilot client before moving everyone.
  5. If you sell on the Marketplace, give 30 days' notice, confirm in writing who cancels each subscription and agree each athlete's last TrainHeroic charge and first new charge.

Choose the switch date after a sample migration passes. The required overlap depends on rebuild work, provider support, client availability and billing dates. Clear communication helps, but it cannot guarantee retention or repair missing data.

Questions about leaving TrainHeroic

Can I export my programs from TrainHeroic?

No. TrainHeroic's FAQ says it does not have a way to export training plans or history. Copy Program and Save to Library keep copies inside your TrainHeroic Library, and TrainHeroic says it is not designed to share content between separate organizations. Plan to rebuild your programs in the destination.

Can I export my client list from TrainHeroic?

Yes, as a CSV. From Athletes on the web, open the 3-dot menu, select Export Athletes, choose a Team or group and select Download CSV. It covers active athletes by group and includes name, email and start date only.

Does TrainHeroic use Stripe for Marketplace payments?

Its security FAQ names Braintree as the processor that stores card details, and its privacy policy lists Braintree, Stripe and Zuora among payment processors. Marketplace sales are paid out to you via PayPal on the 15th, and the Marketplace articles do not describe connecting your own Stripe account.
