Software for life coaches.
Most "best coaching software" lists are written for fitness coaches and quietly assume you need a workout builder. Life, business and mindset coaches need a different shape: booking, packages, payments, and somewhere the actions from the last session actually live. Here are the platforms built for that, and an honest note on when ours is the wrong tool.
How this comparison is made: we check every competitor's pricing and features against their live websites and re-verify them on a recurring basis. We build Coachway, so we flag it wherever it appears, we credit real competitor strengths, and we say who each platform fits better than us. Browse all platform comparisons.
the short answer
The best software for a life coach depends on whether your coaching is purely conversational or includes training and nutrition. Paperbell for life, business and mindset coaches who want scheduling, contracts and packages in one tidy place; CoachAccountable for accountability-led coaching built on action plans and metrics; Practice Better and Healthie where the work is clinical nutrition; and Coachway is our recommended all-in-one when your life coaching also involves training or food, since it keeps the branded client app, packages, check-ins and billing in one place from EUR 69/month for your first 5 clients. If you never program a workout or set a macro target, a fitness-first platform is the wrong shape and we will say so.
Seven platforms, and who each one is actually for.
Prices move, so treat these as a signal rather than a quote, and check the vendor before you buy. Where we have never verified a vendor's pricing ourselves, the table says so instead of guessing.
| Platform | Best for | Standout | Price signal |
|---|---|---|---|
| Paperbell | Life, business and mindset coaches | Scheduling, contracts, packages and payments in one tidy place | Per coach, around USD 57/mo; a free way to try it |
| CoachAccountable | Accountability-led coaching outside fitness | Action plans, metrics and worksheets; bills through your own Stripe, Square or PayPal | From USD 20/mo (2 clients), scaling by client count |
| Coachway | Hybrid life coaches whose work includes training or nutrition | Whole practice in one tab: branded client app, packages, check-ins and billing through your own Stripe | EUR 69/mo up to 5 clients, then EUR 9 per additional client |
| Delenta | Life and executive coaches wanting an all-in-one | Markets itself as an all-in-one coaching business platform | Check the vendor's pricing page |
| Satori | Solo coaches selling sessions and packages | Positions itself as lean admin around enrolment | Check the vendor's pricing page |
| Practice Better | Clinical nutrition and wellness practitioners | Clinical charting, telehealth, scheduling and notes in one system | Free (3 clients); paid around USD 35 to USD 155/mo |
| Healthie | Clinical dietitians and telehealth practices | Built for clinical and team-based nutrition work | From around USD 49/mo, rising for clinical and team tiers |
What a life coach needs that a fitness platform does not sell.
The two jobs look similar from outside and are not. A fitness platform is organised around what the client does between sessions, every day. A life-coaching practice is usually organised around the session itself and what was agreed in it.
booking that runs itself
Sessions are the product, so scheduling is not an accessory. Self-serve booking, reschedules that do not need you, and time zones handled without arithmetic.
packages with a balance
Coaching is sold in blocks of six or twelve. You need to know at a glance what each client has left, and so do they, without either of you counting back through a calendar.
notes and actions in one place
What was agreed last time is the whole thread of the work. If it lives in your notebook and their memory, half of each session goes on reconstructing it.
payments you do not chase
Recurring billing, and ideally through your own payment processor. If the platform custodies the money, leaving later means re-billing every client by hand.
If you want to work out what to charge before picking any of this, the coaching rate calculator starts from your income goal, and the coaching contract template writes the agreement around it.
When Coachway is the wrong tool for a life coach.
We build Coachway for online fitness and nutrition coaches, and that shows in what it is good at. If your coaching is purely conversational - mindset, career, relationships, no training and no food - then a large part of what you would be paying for sits unused, and Paperbell or CoachAccountable will serve you better and cost less.
Where it does fit is the hybrid coach, which is a bigger group than the labels suggest: habit and lifestyle coaches whose clients also train, health coaches running food alongside behaviour change, and life coaches who have added a fitness offer. There, having programming, food logging, check-ins, messaging and billing in one place is the point rather than an overhead. If that is not you, take one of the others - the comparison above is honest about which.
Frequently asked questions.
What software do life coaches actually need?
Four things do most of the work: a way to book and reschedule sessions without email ping-pong, a way to sell and track packages so you know what each client has left, payments that arrive without you chasing them, and somewhere to keep session notes and actions that both of you can see. Everything else is preference. Notice that none of those four is a workout builder or a macro tracker, which is exactly why a fitness coaching platform is usually the wrong shape for a pure life coach.
Is fitness coaching software suitable for life coaching?
Only if your coaching genuinely includes training or nutrition. A fitness platform is built around programming, exercise libraries and food logging, and if you never use those you are paying for weight you do not carry. What does transfer is the client-management half: check-ins, messaging, packages and billing. So a hybrid coach who does habits, mindset and some training can be well served by one, and a purely conversational coach usually should not be.
What is the difference between practice management and coaching software?
Practice management software is organised around the appointment and the invoice: booking, contracts, packages, payment, notes. Coaching software is organised around the programme the client follows between sessions: assignments, check-ins, progress, messaging. Life coaches usually need more of the first, fitness and nutrition coaches more of the second, and the tools reflect that. If you are unsure which you need, look at where your admin time actually goes for a fortnight.
Do life coaches need a client app?
Less often than fitness coaches do. A client app earns its keep when the client interacts with the programme most days, which is normal for training and food logging and unusual for fortnightly life-coaching sessions. If your clients only touch the system to book, pay and read their actions, a clean web portal is usually enough and an app is a cost you do not need yet.
How much should a life coach expect to pay for software?
The realistic band for a solo coach is roughly USD 20 to 60 a month, and the price usually scales with active clients rather than sitting flat. Watch two things: whether payments run through your own processor or the platform custodies your money, because that decides how painful switching later is, and whether the price you see is the price at the client count you are aiming for rather than the one you have today.
Can I move from one coaching platform to another later?
Yes, and most coaches do it once. The cost of the move is almost entirely about your data and your billing: check before you sign whether you can export clients, notes and packages, and whether your payment relationship is yours or the platform's. If the platform holds the card details, moving means re-billing every client by hand, which is where migrations actually fail.
